Mobile Data Collection using the KoBoToolBox Training

This hands-on course equips professionals with the skills to design, deploy, and manage mobile data collection systems using KoBoToolbox — one of the most widely adopted open-source platforms for field surveys and humanitarian data collection. Participants will learn to build advanced forms, manage data submissions, and analyse results in real time. The training is ideal for M&E officers, field researchers, and development practitioners who need reliable, offline-capable data collection tools.

⏱ 5 Days 📡 In-Person 🎯 Intermediate From KES 80,000

About This Course

In an era where timely and accurate data drives programme decisions, mobile data collection has become an indispensable competency for organisations operating in development, health, agriculture, and humanitarian sectors. KoBoToolbox, developed by the Harvard Humanitarian Initiative, offers a powerful yet accessible platform that enables teams to collect, manage, and analyse data in even the most resource-constrained and connectivity-limited environments.

This five-day intensive training course provides a comprehensive, practical foundation in mobile data collection using KoBoToolbox. Participants will move from understanding the platform architecture and account management to designing complex, logic-driven survey forms, deploying them to field teams, and managing incoming data submissions with confidence. Real-world application is central to the course — every module is anchored in practical exercises that mirror the challenges faced by field data teams.

Beyond form design, delegates will explore KoBoToolbox's advanced features including skip logic, validation constraints, repeat groups, and media capture — capabilities that dramatically improve data quality and respondent experience. The course also addresses data management best practices: organising collected submissions, exporting datasets for analysis, and integrating KoBoToolbox outputs with tools such as Excel, Power BI, and SPSS.

TrainingComplex has designed this programme for professionals who need immediately applicable skills. By the final day, each participant will have built, tested, deployed, and analysed a complete mobile survey relevant to their own organisational context — leaving with a portfolio piece and the confidence to lead mobile data initiatives within their teams.

  • Setting up GPS geopoint, geotrace, and geoshape questions for spatial data
  • Capturing barcode and QR code data in field surveys
  • Managing media file size, storage limits, and submission bandwidth considerations
  • Setting appearance parameters such as 'new' and 'annotate' to control camera behaviour and enable image annotation in KoBoCollect
  • Using background-geopoint questions to passively record device location at the time of submission without prompting the enumerator

Module 8: Deploying Surveys and Managing Field Teams

  • Deploying forms to Enketo web links and the KoBoCollect Android application
  • Configuring offline data collection and syncing submissions when connectivity is restored
  • Setting up user accounts, assigning project roles, and managing team permissions
  • Sharing surveys securely and controlling enumerator access to specific project forms
  • Managing form versioning after deployment to ensure field teams are always working from the current form version
  • Configuring submission limits, scheduled availability windows, and single-submission restrictions to control data collection scope

Module 9: Data Submission Monitoring and Quality Control

  • Using the KoBoToolbox data table view to monitor incoming submissions in real time
  • Identifying and flagging erroneous or incomplete submissions for follow-up
  • Editing and correcting submissions within the platform without compromising audit trails
  • Establishing a field data quality assurance protocol for ongoing surveys
  • Enabling the audit logging meta-question to track time spent per question and detect unusually fast or inconsistent form completion
  • Using validation status workflows to systematically approve, flag, or reject submissions as part of a structured supervisory review process

Module 10: Data Export, Analysis, and Reporting

  • Exporting data in XLS, CSV, GeoJSON, SPSS, and KML formats for downstream analysis
  • Using KoBoToolbox's built-in summary reports, charts, and map visualisations
  • Linking KoBoToolbox exports to Excel pivot tables and Power BI dashboards
  • Capstone project presentations: participants deploy and demonstrate their own completed surveys
  • Configuring the KoBoToolbox REST API and connecting to third-party platforms such as Power Automate and ODK Briefcase for automated data pipelines
  • Interpreting disaggregated summary statistics within KoBoToolbox to identify data gaps and submission anomalies before external export

Requirements & Prerequisites

Participants should have a basic understanding of survey design or data collection in a professional or research context. Familiarity with Microsoft Excel and general computer use is recommended, as some exercises involve spreadsheet-based form design using XLSForm. No prior experience with KoBoToolbox or mobile data collection software is required — the course builds skills from the ground up.
